The final invoice is different from a deposit or later advance payment. It can include actual extras, one-off charges, tax, and an optional tip, less earlier verified online payments and separately recorded cash/POS. Saving or emailing an invoice does not charge a card.
Prepare the final invoice
-
Open the reservation’s Invoice tab
Open the invoice editor for the correct reference. Check the saved package prices and earlier payments before entering changes.
-
Enter actual quantities
Review guests and add-ons against what the party used. Do not change the package’s general price to correct one invoice.
-
Add miscellaneous charge
For a one-off item, enter a guest-visible description, quantity, and unit price. Add up to 20 lines. These charges apply only to this invoice and do not change the add-on catalog.
-
Review sales tax
If automatic tax is enabled for this booking, choose one of its saved tax categories for every miscellaneous charge. Automatic tax recalculates with the invoice; only managers and owners can override it with a reason. Bookings without automatic tax retain manual tax entry.
-
Review the optional tip
The guest can choose a suggested tip, a custom amount, or no tip. Suggested tips include one-off charges in the pre-tax subtotal. Editing financial inputs resets the selection to 10% for the guest to review again. Choosing a tip alone does not collect payment.
-
Choose Save invoice
Expect a saved invoice revision. It is a local server record included in that server’s configured backup, not automatically part of a hosted booking export.
-
Review the PDF before sharing
Use the invoice preview/PDF control to inspect quantities, miscellaneous charges, tax, tip, earlier online payments, separately recorded cash/POS, and remaining balance. Send only to the intended adult contact.
Collect the final balance once
-
Review final settlement
Check that the final bill is complete before publishing the private payment version. Publishing locks invoice edits, including miscellaneous charges, and blocks new advance-payment links.
-
Choose Publish final invoice
In Final invoice & settlement publish the saved bill. The hosted version is tied to this reservation and revision. It is not the package-base-only advance payment link. Choose No tip or another tip before publishing.
-
Open or email the secure payment page
Choose Open secure payment page for supervised use on a staff tablet or Email final payment link to send the link to the booking contact. Staff stay signed in. Never leave an authenticated staff tablet unattended with a guest.
-
Let the guest choose online checkout
Final online settlement uses the connected Stripe checkout when available. Do not assume Square deposit support means Square final settlement is offered. Use only the method shown as ready by the service.
-
Wait for verified settlement
An online checkout in progress locks competing collection. Do not collect another payment while its outcome is unresolved. Payment status refreshes automatically; a provider return page alone does not mark the invoice paid.
-
Enter a POS payment already collected
Under Record POS payment, enter the amount paid and the receipt, invoice, or transaction number from your POS. Partial entries cannot exceed the remaining balance.
-
Choose Review POS payment
Check the amount and reference, then choose Record POS payment only after the separate POS transaction succeeded. This does not charge a card. Your signed-in staff account is recorded in the audit history.
-
Confirm the balance is settled
Check the recorded settlement state and review the payment history. Keep the POS receipt with your usual venue records.
-
Send collected host tips to Payroll
Managers and owners with access to both licensed modules can choose Review in Payroll in the invoice Finish step. Open or create the correct collection-period report, then review and import the tips. Choose a payroll employee when a host has not been matched. Manual legacy-party entries remain available unless disabled in Payroll settings.
Set up the survey and review link
-
Open Settings → Guest surveys as a manager or owner
Enable survey invitation emails and verify the venue’s outbound email settings. Every new survey asks about the guest’s overall experience using your published venue name and includes a separate named 1–5 rating for each selected host. Staff can email surveys but cannot edit settings or read answers.
-
Add up to 20 custom questions
Choose Rating, Single choice, Multiple choice, Yes/no, Short text, or Long text. Configure the question labels, required answers, and choice options as needed. These questions are separate from the fixed overall and host ratings.
-
Group related questions into sections
Choose Add section and enter a heading, such as Attractions. Use Add question to section in its header. Under any existing question, choose Move to section and pick the destination; the question moves to the end of that section. Use the question arrows to change its order, or the section arrows to move the whole group. You can use up to 10 sections; headings do not use your question allowance. Removing a section keeps its questions under Without a section. Preview shows the same groups guests will see.
-
Choose whether to offer an onsite completion reward
Rewards are disabled by default. If enabled, customize the description, for example a $10 game card. One reward per party is available for onsite survey completion with any honest rating; no positive rating or Google review is required.
-
Preview the survey
Use Preview survey to try the current draft with sample answers. Nothing is submitted, issued, or emailed.
-
Save the survey settings
Use Save survey settings. New surveys use these saved questions immediately, without publishing the booking draft. A survey already sent keeps its original questions unless you explicitly update it from the reservation. Completed responses are never rewritten.
-
Add an optional Google review URL
Open Settings → Guest appearance and enter the venue’s valid HTTPS Google Business review link. Leave it blank to hide the invitation. Choose Save & Publish for the public survey to use it.
Invite the guest after settlement
-
Open Guest survey on the reservation
Expect eligibility only after the confirmed party invoice is finalized and fully settled. If it is unavailable, inspect settlement before trying again.
-
Select the hosts
Choose the active employee responsible as Primary host and, if needed, a different active employee as Secondary host. The guest rates each named host separately. Check both before sending.
-
Choose Email survey
A private survey link is emailed to the booking contact. There is no survey sign-out or tablet handoff. Queued email is not proof of inbox delivery; check Activity or email settings if needed.
-
Watch completion status
The open panel checks every 10 seconds while visible. Use Refresh to check manually, especially after an uncertain send. Status checks never send email and staff see completion metadata only, not answers.
-
Let the guest submit their response
The optional published Google review button and QR are available before and after submission, independent of all ratings and rewards. The QR contains the public review URL, not private answers, guest details, or the survey token.
-
Record an enabled onsite reward once
After the survey is submitted onsite, explicitly confirm I confirm the guest completed this survey onsite, then choose Mark game card issued when handing over the card. This records one issuance per party; it does not load a card or issue money. Any rating qualifies.
-
Reissue a lost email only when needed
Use Reissue survey email before submission when available. It retains the frozen questions and selected hosts and immediately invalidates the older link. Refresh first if the prior send was uncertain.
-
Update an unanswered survey after changing questions
Save your latest survey settings, then open the reservation’s Guest survey panel and choose Update questions & resend. Confirm to replace its questions and sections, keep the original hosts and reward, and email a fresh private link. The old link stops working and any unsubmitted answers must be entered again. This is useful for an older test survey that was sent before you added questions. Completed surveys cannot be changed.
Review private feedback as a manager or owner
-
Open Reporting → Guest feedback & hosts
Use host/date filters and expand individual responses to inspect reservation metadata, selected hosts, overall and host ratings, custom answers, and reward status. Staff cannot access these answers or reports.
-
Compare actual host ratings
Review each host’s individual rating average, sample count, and 1–5 distribution. Legacy overall-only feedback remains in overall results and is not attributed to a host average or ranking.
-
Review follow-up and participation
Low-score follow-up includes responses with an overall or either host rating of 1–2. Participation is an all-time issued/submitted summary, separate from filtered feedback. Treat feedback and exports as private venue data.
